
Project Coordinator | Mission Critical Service

Located in our Woodridge, IL facility and reporting to the Operations Manager of the Client Services Group, the Project Coordinator will support Mission Critical Service operations by managing client documentation, coordinating internal processes, and assisting with project execution. This role requires strong organizational skills, attention to detail, and the ability to collaborate across multiple departments to ensure successful service delivery.
Responsibilities:
- Develop and manage standardized internal equipment-specific Methods of Procedures (MOPs) and related documentation.
- Develop a detailed understanding of client-specific paperwork requirements and ensure compliance with site standards, including pre- and post-job documentation and billing requirements.
- Manage and track technician paperwork to ensure alignment with client deliverables.
- Prepare cost estimates and proposals for small Mission Critical projects and repair jobs; follow up with clients as needed.
- Set up new jobs and support Mission Critical Director and Client Managers with project initiation.
- Submit internal subcontractor requests and coordinate related documentation.
- Process and enter change orders as required.
- Assist in setting up job cost projections and tracking financial components of projects.
- Submit job payment requests through accounting systems.
- Collaborate with Service Coordinators to support scheduling needs.
- Work with Procurement Coordinators to order and track equipment and materials.
- Partner with Compliance Coordinator to ensure timely reporting and delivery of required documentation to clients.
- Compile and distribute PMA information to Field Technicians.
- Perform other duties as assigned.
Qualifications:

- Process PO’s and sub-contracts for the purchase of equipment, supplies and services.
- Process change orders.
- Job cost projections and job cost reports.
- Assist Project Managers with estimating, proposals, coordination, and close-out activities.
- Job invoicing preparation.
- Updating commodity pricing.
- Material/Equipment tracking and coordinate deliveries.
- Prepare PM’s for monthly PM meetings.
- Work with fab shop to coordinate deliveries/ordering materials.
- Coordinates activities with other trades areas, project manager or outside contractors.
Compensation:

- $58,000 – $75,000 annually
